JOB TITLE: Logistic/Office Assistant
LOCATION: Aden, Yemen
CONTRACT DURATION: 06 months fixed term (Renewable)
START DATE: ASAP
SALARY GRADE: According to SIF’S National Staff Salary Scale

General Description of the Position:
With the support and under the direct supevison of Logistics Officer in Aden, Field Logistic/Office Assistant is responsible for Logistics/office-related activities including supply chain management, equipment & inventory management, fleet management, and stock management:
Duties and Responsibilities:
- Provide planning support and advice to those making a procurement request, then process and manage the procurement process by SIF policies and procedures, in a transparent, accountable, efficient and cost-effective manner.
- Collect BCI from the team and prepare IRV as per need basis of the request;
- Ensure BCI follow-up and validation process strictly according to the SIF Purchase Policy
- Assist in the submission of procurement files in the finance and payment follow-ups.
- To update the procurement folders regularly and ensure that all procurement documents are collected with high attention to transparency and SIF guiltiness.
- Assist in contracts management and renewals tracking and follow-ups with the field Log Officers regularly.
- Ensure the safety and effective use of all SIF assets and properties in the office.
- Account for the overall compliance with assets, properties and premises management procedures.
- Ensure the maintenance and repairs of assets and properties promptly
- Assess the need for additional equipment/premises.
- Supervise and coordinate all logistic matters relating to transport and fuel management, to ensure that vehicles are insured, asset managed correctly, being driven safely, maintained appropriately, and damages are reported.
- Organize field movements for staff members (flight and hotel booking, rental taxi, etc.)
- Ensure that vehicle internal equipment (tools, communications etc) is complete and serviceable; and that usage of fuel is correctly supervised, logged and recorded.
- Proactively engage with country Program and finance staff on all matters of logistics to ensure that programmatic and project planning incorporates sufficient funding for logistical staff and logistical support mechanisms.
- Responsible for managing office stationery and cleaning supplies based on staff needs

Qualifications and Requirements:
- Batchelor degree in Administration /Supply chain management or equivalent.
- At least 3 years relevant work experience in Logistics
- Experience in international development and non-profit organisations.
- Experience in the commodity management.
- Good computer skills; word, excel, PowerPoint and database.
- Very good communication skills and team player, as well as ability to work individually.
- Fluent in English.
